1) Who we are
WiFi Certify Limited (“WiFi Certify”, “we”, “us”, “our”) provides plan-based Wi-Fi heat-mapping and issues WiFi Performance Certificates (WPCs) and associated WiFi coverage ratings for existing residential properties and new-build developments.
2) Scope of this notice
This notice explains how we collect, use, disclose, retain and protect personal data when you visit our websites (including regional pages), contact us, place orders, request house-type reports or WPCs, or otherwise interact with us online or offline.
3) Personal data we collect
· About you, the Developer client – name, job title, company, email, phone, company address, company number
· About you, the home owner – name, email, phone number, address
· Project & property data – floor plans (PDF/DWG/JPEG/PNG), house-type details, intended AP locations, plot/address lists, payment information for invoicing
· Transaction data – orders, invoices, payment status (card details are handled by our payment processors; we don’t store full card numbers).
· Communications – enquiries, support messages, preferences, opt-in/opt-out choices.
· Technical & usage data – device/ browser information, IP address, cookies/consent choices, and on-site interactions (see “Cookies & similar technologies”).
· Public WPC verification dataset – a limited set of certification details (e.g., certified address, grade, validity) published or searchable to allow third parties to verify a WPC.
4) Where we get your data
· Directly from you (web forms, email, phone, file uploads)
· From your organisation (e.g., developers/housebuilders providing plot/address lists for certification of their sites).
· From site technology (analytics, consent tools, translation services and e-commerce platform), subject to your cookie choices (see Section 10).
5) How we use personal data
· Provide services & fulfil contracts – scope projects, heat-map properties, issue WPCs, manage orders, payments and account queries
· Operate the WPC verification service – maintain a searchable record of certified addresses, grades and validity
· Legal/financial compliance – taxation, accounting, audit, fraud prevention.
· Marketing – send service updates and, where permitted, marketing communications (see lawful bases and your rights).
6) Our lawful bases (UK/EU GDPR)
We rely on one or more of the following:
· Contract – to deliver ordered services (e.g., house-type reports, WPCs).
· Legitimate interests – service improvement, and electronic marketing to subscribers with an easy opt-out once we launch marketing for the service
· Consent – non-essential cookies/analytics and electronic marketing (or where required by local law).
· Legal obligation – retention of transaction records and responding to lawful requests.
7) Marketing rules (PECR & regional laws)
· For UK/EU individual subscribers (consumers), we only send electronic marketing with consent or where the soft-opt-in applies (your details were collected during a purchase/enquiry for similar products, with a clear opt-out at collection and in every message).
8) Sharing your data
We share data with trusted processors who help us run the service, for example: hosting, email, analytics, e-commerce/payment providers, cookie/consent platforms and website translation services (blocked until you consent). We also share data when required by law or during business re-organisation, Where we use Google Analytics (if enabled), Google acts as our processor under its data protection terms.
9) International transfers
Your data may be processed outside the UK/EEA. Where this happens, we use appropriate safeguards such as the UK IDTA / EU SCCs and conduct transfer assessments where required.
10) Cookies & similar technologies
We use essential cookies to make the site work and, with your permission, optional cookies (e.g., analytics/marketing). Non-essential cookies are off by default if and until you choose Accept in our banner. Essential cookies may be set without consent. See the cookie banner “Privacy Settings” for details of each service.
11) Data retention
We keep data only as long as needed for the purposes above, including to meet legal/financial obligations. Typical periods: · Orders & finance: 6–7 years (tax/audit).
· House-type designs: 2 years (or until superseded).
· Plot WPCs: 5 years validity; verification records kept for the validity period
· General enquiries/support: up to 24 months after last activity.
· Marketing contacts: until you opt out or after a 12 month period of inactivity, whichever comes first
12) Security
We apply technical and organisational measures appropriate to the nature of the data and risks, including role-based access, encryption in transit, and regular review of processor contracts and access logs.
13) Your privacy rights (UK/EU)
You can: access, correct, erase, restrict or object to processing; obtain data portability; and withdraw consent where that is our lawful basis. To exercise rights, contact info@wificertify.com. You can escalate to the UK Information Commissioner’s Office (ICO) at ico.org.uk if you have concerns.
14) US (California) supplement
If you are a California resident, you have the right to request access to, correct, or delete personal information, to opt out of “sale” or “sharing” of personal information, and to
limit the use of sensitive personal information, subject to exceptions. We do not knowingly “sell” personal information as defined by California law. You may exercise rights by emailing info@wificertify.com and we will verify your request consistent with applicable law.
15) Children
Our services are not directed to children under 16 and we do not knowingly collect their data. If you believe a child has provided data, contact us and we will take appropriate action.
16) Changes to this notice
We will update this notice when necessary and post the latest version on this page. Material changes will be highlighted for a reasonable period after publication.
